Terms & Conditions

1. Scope of Services

Sylvain Travel (“we,” “us,” or “our”) specializes in planning custom travel itineraries. We act as an intermediary between clients and travel suppliers, arranging travel services on behalf of our clients. We do not operate, control, or provide the services of independent travel vendors. The engagement of Sylvain Travel is to provide you with the following services:

  • Learn about trip details and travel preferences through a consultation or detailed trip form. 
  • Provide travel advice. 
  • Develop a customized itinerary, provide options for travel arrangements, and make changes based on feedback.
  • Collect information in order to complete bookings and provide an invoice for each charge. 
  • Book all approved reservations. 
  • Make reasonable changes to the itinerary and reservations after booking, additional changes will result in extra fees. 
  • Store and organize all reservations. 
  • Answer any questions prior to and during trip. 
  • Provide support, travel, and reservation services in extenuating circumstances; delays, cancellations, and emergencies. 

2. Planning Fees and Service Levels

Our planning fees are as follows (includes 2 travelers, 2 destinations, and 5 nights):

  • Basic (Flights, Rental Car, Transfers, Accommodation): Starting at $75
  • Standard (Basic + Daily Activities): Starting at $125
  • Premium (Standard + Meal Suggestions and Dinner Reservations): Starting at $175
  • Road Trip Deluxe (Premium + Suggested Stops & Detours, Customized Google Map): Starting at $225
Initial Planning Fee:  includes customized itinerary for up to 4 travelers, 2 destinations, and 5 nights.

Additional planning fees:

  • $25 for each additional traveler 
  • $20-$50 for each additional night
  • $20-$50 for each additional destination 
  • Frequent Flyer / Award Booking Fee, per person: $50.00
  • Change Fee, per person: $30.00
  • Additional itinerary/trip revisions: $75.00

All Planning Fees are separate from the cost of your travel. All Planning Fees are NON-REFUNDABLE, whether or not you decide to book travel. This Agreement is separate from your agreements with any travel suppliers, e.g., airlines, hotels, tour operators, cruise lines, and other suppliers.

3. Cancellation Fees

Sylvain Travel charges Cancellation Fees based on the following schedule:

– 60 days or more before travel: $25 per person + the supplier’s fee, if applicable

– 60-30 days before travel: $50 per person + the supplier’s fee, if applicable

– Within 30 days of travel: $75 per person + the supplier’s fee, if applicable

Note: Sylvain Travel’s cancellation fees are separate from the supplier’s. We will relay supplier policies regarding cancellation fees to you in your trip proposal confirmation.

6. Client Responsibilities

The client agrees to:

  • Provide accurate information
  • Make payments by stated deadlines
  • Take responsibility for obtaining necessary travel documents
  • Review and adhere to all supplier terms and conditions
  • Consider purchasing travel insurance for each trip

7. Privacy and Data Protection

We collect and use client data in accordance with our Privacy Policy. We are committed to protecting your private information and will take all reasonable measures to ensure its security.

8. Marketing Communications

By engaging our services, clients agree to receive marketing materials via email. Clients can unsubscribe from these communications at any time.

9. Travel Documents and Requirements

Clients are responsible for obtaining and maintaining valid identification and any other required travel documents. Sylvain Travel is not liable for any issues arising from incomplete or inaccurate travel documents.

9. Liability and Disclaimers

Sylvain Travel shall not be held responsible for any loss, accident, injury, delay, defect, omission, or irregularity that may occur or be occasioned by any independent company or person engaged in carrying out any of the arrangements of the trip.

10. Changes to Itinerary

Sylvain Travel agrees to assist clients in making reasonable changes to their itinerary. However, additional changes will lead to extra planning fees, which will be communicated before being incurred.

11. Refunds

The client understands and agrees that Sylvain Travel’s Planning Fee is nonrefundable and nontransferable.

Travel components are refundable only based on individual supplier policy, and Sylvain Travel will inform you of those details within your proposal confirmation.

For any refunds that may be due post-cancellation, Sylvain Travel, as your travel advisor, will assist with obtaining a refund from a supplier but shall not be held liable in any form for unpaid supplier refunds.

12. Acceptance of Terms

By engaging Sylvain Travel for trip planning services or authorizing any payments, you acknowledge that you have read, understood, and agree to be bound by these terms and conditions.

Credit Card Authorization:

By providing credit card information to Sylvain Travel, the client:

  1. Authorizes charges for all agreed-upon travel services, including planning fees, bookings, and applicable cancellation or change fees.
  2. Agrees to recurring charges for trips with multiple payments or installments.
  3. Accepts responsibility for any additional costs incurred during trip planning or travel, subject to prior notification when possible.
  4. Understands that international bookings may incur foreign transaction fees from their credit card company.
  5. Agrees to provide an alternative form of payment within 24 hours if a transaction is declined.
  6. Consents not to initiate chargebacks for authorized charges and to address disputes directly with Sylvain Travel.
  7. Acknowledges that refunds will be credited to the original payment method, subject to supplier policies.
  8. Understands that Sylvain Travel will securely store credit card information in compliance with applicable laws and industry standards.
  9. Agrees to provide updated credit card information if the card expires or is replaced.
  10. Confirms authorization to pay for travel services on behalf of all travelers in the booking, if applicable.

At Sylvain Travel, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how we collect, use, disclose, and safeguard your data.

  • Travel preferences and special requirements
  • Payment information

  • Process payments and refunds
